Information Management Analyst

Acts as liaison between Information Management and all departments and locations requesting services by phone, email or in person. Services in the records management area include:

  • Fulfillment of research and file pull requests from our archives, databases and libraries using various databases.
  • Entry of records into databases.
  • Delivery and pickup of files from home office endusers.
  • Inventory and reporting on systems and libraries.
  • Providing endusers with proper preparation techniques for archiving.
  • Archiving boxes weighing approximately 30-35 lbs. each. This includes lifting and relocation of boxes using handtrucks.
  • Inventory management of stacks including re-shifting and relocation of file libraries. This requires use of step stools, bending, lifting and use of file carts and boxes weighing approximately 30-35 lbs. each.
  • Folder and redweld creation, maintenance, and tracking
  • Interfiling which requires document recognition, usage and maintenance knowledge.
  • Identification of documents in hardcopy format that are within the scope of our corporate imaging program.

Imaging
Services in the imaging area include:

  • Document preparation for imaging
  • Image capture, manipulation, cleanup and quality control using a variety of software applications and input devices. Software includes, Adobe Acrobat Professional, Adobe Capture Workgroup, Canon Imagerunner series of multifunctional devices running eCopy, EMC's Application Xtender, and Photoshop.
  • Application of standardized file-naming conventions to files after batch processing.
  • Conversion of electronic files through various formats to achieve highest quality and minimal file size.
  • Preparation of electronic packages for specialized materials such as Board Materials and Offerings Materials w/ advanced features.
  • Acting as liaison and troubleshooter w/ home office endusers for assistance in their use of Imagerunner multifunction devices for scanning.

Electronic Document Management and Content Management
Services in this area include:

  • Application of metadata to imaged and native documents during upload into document management systems according to a strict file plan.
  • Searching and locating documents in databases in fulfillment of information requests and document requests. Requires ability to read and quickly understand wide variety of documents, mostly legal and environmental.
  • Administration of file taxonomy and identification of places where it must grow to accommodate new documents and information.
  • Compilation of research or requests results into various formats for delivery to endusers: either in a collaborate environment or burning to CDs.
  • Creation and administration of document-centric websites for collaboration or projects within the enterprise such as due diligence for acquisitions, dispositions and financings. Migration of these websites' content to central repository after initial usage for projects.
  • Vetting of information during acquisitions process for thoroughness and acting as liaison with internal and external partners to obtain missing information.

QUALIFICATIONS:

  • 4 year degree or equivalent experience in Imaging, Records Management, or Paralegal Studies with focus in real estate or corporate law.
  • CRM and CDIA certifications desirable
  • Proficiency in image manipulation programs and above average aptitude for learning computer programs
  • Background in commercial real estate highly desirable
  • Analytical disposition and great attention to detail
  • Sense of urgency, self-directed, solid integrity regarding work product
  • Ability to read and understand legal documents
  • Ability to learn to read site plans and architectural drawings
  • Excellent oral and written expression in English
  • Excellent time management skills and ability to multi-task
  • Ability to learn and follow the document lifecycle of the entire organization
  • Excellent customer service and ability to interact with all levels of personnel
  • Must be self-motivated
  • Must be able to work successfully in a team environment
  • Typing 55+ wpm
  • Solid working knowledge of MS Word, Excel and Powerpoint
  • Able and willing to lift and move 35lb boxes when needed using hand cart
  • Ability to use computer for long periods of time
  • Ability to stand for 30-minute intervals when conducting research in the stacks
